The single most important distinction: on the free tier, everyone shares one role and one passcode. You can still lock staff out of reports and refunds — but because everyone uses the same code, you can’t tell which person did something. The moment you need accountability (“who comped four drinks on Tuesday?”), you need Advanced Access, because that’s what ties each action to a named person.

The permissions a café should lock down first

Whichever tier you’re on, these are the access controls worth setting deliberately. Think of them as the “don’t let a bad shift cost you real money” list:

  • Refunds. Restrict who can issue refunds. Refund abuse and honest mistakes both hit your bottom line, and refunds are the classic action to reserve for shift leads and up.

  • Opening the cash drawer with no sale. A “no sale” drawer open is a normal function and a common shrinkage vector. Reserve it.
  • Viewing sales reports. Your revenue, margins, and trends are business information. Most baristas don’t need to see the day’s totals.
  • Editing items and prices. Menu and price changes should sit with owners and managers, not everyone with a passcode.
  • Comp/void after send. For food-forward cafés, voiding a sent ticket is worth restricting so the kitchen and the till stay in sync.

On the free tier you apply these to your one shared role. On Advanced Access you build a “Barista” role with most of them off and a “Manager” role with them on — which is exactly the setup most cafés want.

How to set up staff permissions on Square

The mechanics are quick. Here’s the path most cafés follow.

  1. Open Team Management in the Square Dashboard. Go to Staff → Team (older accounts may show Team Management). This is where roles, permissions, and team members live.
  2. Review or create your permission set. On the free tier, edit the default team permissions and turn off everything staff shouldn’t touch (refunds, reports, discounts, drawer). On Advanced Access, create separate roles — e.g. Barista and Shift Lead — each with its own permission set.
  3. Add each team member. Enter their name and details. On Advanced Access, assign each person a role and generate an individual passcode so their actions are tracked to them.
  4. Set the point-of-sale passcode requirement. Require staff to enter a passcode to sign in on the POS, so the till always knows who’s operating it.
  5. Test with a real action. Have a “barista” role try to issue a refund or open reports. Confirm it’s blocked. This five-minute test is how you know the permissions are actually doing their job.

When the free tier is genuinely enough

Don’t pay for what you don’t need. The shared passcode is a real limitation only when you need to attribute actions to individuals.

Upgrade to Advanced Access when one of these becomes true:

  • You’ve grown past a handful of staff and want each person’s own login.
  • You need to know who did what — refunds, comps, drawer opens — for accountability or loss prevention.
